    Follow Up Email Generator FAQ

    How long should I wait?

    About 3 days, then 7, then 14.

    How many follow-ups?

Two or three, then a polite close.

    What should I add?

Something useful: a case study, an answer, a resource.

How many follow-ups should I send?

Two to three after the first contact is a common and polite limit. Each one should add value; after the last one, stop and leave the door open.

    Follow-ups that stay helpful

Most replies come after a follow-up – being helpful and brief keeps the door open.

Most replies come after the first follow-up, not the first email – people are busy, not uninterested. The key is to add something useful each time instead of “just checking in”: a short case study, an answer to a question raised in the call, or a relevant article. That gives the reader a reason to reply.

The three stages behave differently. The first follow-up, sent two or three working days after the call or proposal, recaps the agreed next step. The second, about a week later, brings new value and offers an easy way to say no. The last (“break-up”) email politely closes the loop – it often gets a reply because it removes pressure and gives the recipient permission to answer honestly.

Keep each follow-up shorter than the email before it, reply in the same thread so the context is visible, and stop after the break-up email. Respecting a silent “no” protects your reputation for the next opportunity.
